## Summary

#### Overview
**Appointment of a service provider to deliver a two-day conferencing venue package and networking session for the MHSC Tripertite Summit in Gauteng (17–18 September 2026), including a full hybrid conference for 1500 delegates and a networking dinner for about 1300 attendees.** Bidders should have proven expertise in events management, venue procurement, hybrid AV, catering, and health and safety compliance, with relevant PFMA-aligned processes and certifications.

#### Requirements
- Demonstrated experience in events management and venue bookings; provide a company profile and at least five years’ experience plus reference letters.  
- Ability to secure and operate a main conference venue for 1500 classroom-style delegates, six breakaway rooms (day 1), a dedicated operations room, and an on-site exhibition space for 20 stands.  
- Deliver a Day 1 networking dinner for ~1300 attendees at a separate venue on premises, with appropriate décor, catering, and AV support.  
- Complete hybrid AV setup with MS Teams integration, dedicated network line, power backup, and on-site safety provisions (safety officer, ambulance/medic).  
- Compliance with accessibility, health, safety, and regulatory standards; provide COA for venue and caterer where applicable; emergency exits and fire safety measures clearly visible.  
- Site inspection (including meal tasting) as part of evaluation; adherence to PFMA, POPIA, OH&S requirements; and valid CSD/Tax compliance documentation.  
- Pricing and specific-goals criteria, with reference letters and BBBEE considerations as applicable.
