## Summary

#### Overview
**Hybrid services for Gauteng Province stakeholder engagement, including live streaming, on-site AV, and audience engagement delivery.** This RFQ is aimed at service providers with hybrid-event production capabilities (AV, streaming, staging, LED/TV screens, polling platforms, and post-event deliverables). On-site attendees: 350–400; online attendees: 100. Mandatory online briefings are outlined in the attached RFQs (two sessions noted). Bidders must be on the National Treasury Central Suppliers Database (CSD) and prepare SBD forms and a detailed project plan with CVs.

#### Requirements
- Four years’ experience in setting up/conducting similar hybrid events. 
- Three written reference letters from clients for similar work in the last three years. 
- Detailed project plan including CVs for all key roles (Technical Director, Streaming Operator, Audio Engineer, Camera Operators, Vision Mixer, Technical Assistant). 
- Comprehensive equipment list with model names and inventory; references to at least three similar events. 
- Contingency plan for technical/power/network issues; minimum 50 Mbps upload/download for online streaming. 
- All setup completed by 19:00; dry runs finished by 22:30 the day before the event; capability to deliver raw footage (Mp4, audio, transcripts). 
- Live polling and engagement platform (e.g., Mentimeter/Slido) with full licensing, online and on-site access, real-time results, and uninterrupted support.

#### How to Apply
- Submission deadline: 21 October 2026 at 12:00. Late quotes will not be considered. 
- Submission method: email quotations@merseta.org.za; quote must reference the RFQ number in the subject. 
- Documents to submit: merSETA official quotation form; SBD 4 Bidder’s Disclosure; SBD 6.1 Preference Points Form; Pricing Schedule; Price Declaration; and contract forms (SBD 7.1/7.2) as applicable. If additional pricing breakdowns are needed, attach on company letterhead. 
- Pre-qualification: bidders must be registered on the Central Suppliers Database (CSD).
