Overview

Procurement of a professional event organiser to plan, manage and facilitate the Sondela Youth Festival and other municipal events for Joe Gqabi District Municipality over three years. Suitable bidders are experienced event-management service providers capable of end-to-end city- and district-level event delivery (planning, logistics, venue/infra, stakeholder engagement, health and safety, budgeting, reporting) with appropriate certifications and a track record in municipal events.

Requirements

• Central Supplier Database (CSD) registration and proof; JV/consortium must have separate entities and bank accounts.
• Tax/compliance: SARS Tax Compliance Status (TCS) or PIN for all parties; separate TCS for each JV/partner; proof if required.
• Experience: evidence of completed event-management projects (≥ R500,000) within 15 years; attach client references and performance assessments.
• Team: CV of the Event Manager; qualifications (Degree/Diploma or NQF 5+); certified copies not older than 3 months.
• Methodology: detailed approach covering event preparation, participant/venue management, ticketing, exhibitors, PR, and communications.
• Local goals: up to 20 points for HDI/ownership and locality. Provide proof (CSD, address, municipal documents) as applicable.
• Banking/insurance: bank rating letter (minimum required) and evidence of insurance; annual bid validity 120 days.
• Other: adherence to all tender conditions, signing of documents, and ability to form/operate a panel if required.
