APPOINTMENT OF A SUITABLY QUALIFIED SERVICE PROVIDER TO PROVIDE AN OFF-SITE STORAGE FACILITY, BACK SCANNING AND DIGITIZATION OF DEPARTMENTAL RECORDS FOR THE DEPARTMENT OF LAND REFORM AND RURAL DEVELOPMENT (REGIONAL 2: NORTH WEST PROVINCE, MPUMALANGA PROVINCE AND LIMPOPO PROVINCE) FOR THE PERIOD OF (03) YEARS. Suitable bidders should have experience in records management, archival storage, off-site storage, back scanning, digitisation, and lifecycle management of public records, with capabilities for secure access, classification, retention, and retrieval.

Requirements

• Compulsory briefing: 30 September 2026 (Limpopo PSSC Office, 70 Hans van Resburg, 2nd Floor Boardroom, Polokwane).
• Register with National Treasury Central Supplier Database (CSD) and provide the reference numbers on the SBD1 form.
• Submit required bid documents: GCC, SBD1, SBD4, SBD5, SBD6.1, and terms of reference.
• Tax compliance: SARS PIN or tax clearance; provide CSD number if no TCS; proof of tax compliance as required.
• Bid responses must be in a sealed envelope with bidder name, bid number, and closing date.
• Performance security to be furnished within 30 days of award; follow contract GCC/SCC requirements.
• Valid bid period (120 days) and adherence to NIPP, PBDM as applicable.
• Maintain confidentiality and comply with terms of reference (TOR) and GCC.
