Overview

Procurement of one service provider to supply and deliver cleaning chemicals and materials in the Eastern Cape region for 24 months on an as-and-when-required basis. Bidders should be cleaning chemicals/janitorial supply suppliers with the capacity to deliver to East London (PRASA East London Station) and meet tax, registration, and BBBEE requirements.

Requirements

• Compliance with pricing format: complete the Pricing Schedule/BOQ in full.
• Submit the submission register at the SCM office (sealed envelope).
• Tax and supplier registrations: provide SARS PIN/TCS status and/or CSD number; ensure Tax Compliance and registration status are current.
• Company prerequisites: valid company registration documents, copies of directors’ IDs, proof of bank account, and any JV/consortium agreements.
• National supplier rules: CSD registration mandatory unless foreign-only entity; comply with SARS/CSD requirements.
• Specific goals: provide evidence for BBBEE/EME status (e.g., 51% Black Owned) for scoring.
• Quality controls: goods must meet PRASA/SABS/SANS standards; inspection prior to payment; 1-year warranty for items where applicable.
• General: responses must be complete; no state-service employees with conflicts; adhere to 60-working-day validity from closing date.

• Submission method: deposit in the PRASA Bid Box at 8 Station Street, East London; electronic submissions are not considered; sign the submission register.
• Documents to submit (where applicable): Pricing Schedule (Section 8), completed RFQ forms, company/ID docs, Tax Clearance or SARS PIN, CSD number, bank details, JV/consortium docs, BBBEE evidence, and any required declarations (SBD forms).
• Pre-qualifications: CSD registration or SARS PIN as noted in the RFQ; ensure tax compliance; comply with the NA/Law.
• Briefing: there is a compulsory RFQ briefing session (details in the RFQ).
