APPOINTMENT OF PROFESSIONAL SERVICE PROVIDERS TO ESTABLISH A PANEL OF SUITABLY QUALIFIED AND EXPERIENCED SERVICE PROVIDERS TO RENDER PROFESSIONAL EVENTS MANAGEMENT SERVICES AS AND WHEN REQUIIRED

Overview

The Department seeks to appoint professional service providers to establish a panel of suitably qualified and experienced service providers to render professional events management services as and when required. Bidders should be experienced event management firms with a track record in Izimbizo, national/international conferences, and exhibitions, capable of operating province-wide; certain panel categories require EXSA/SAACI accreditation and all bidders must meet regulatory requirements (CSD, SARS tax compliance).

Requirements

• Proven event management experience (Izimbizo, conferences, exhibitions) and capacity to deliver across varied venues.
• Panel category eligibility: Category C/D requires valid EXSA and SAACI accreditation.
• Regulatory/compliance: Tax clearance/SARS PIN, CSD registration (CSD no. acceptable if TCS PIN not provided); bidders not in state service.
• Returnable documents and forms: complete SBD forms, Annexures A–D, CV formats, and official briefing session certificate (where applicable).
• Evaluation criteria: minimum functionality score of 70% to progress; price and preference (80/20) with potential price negotiation.
• Contract period: appointment to 31 August 2028; bid validity 120 days.
