Overview

Procurement of the Venue Service Provider to manage and implement all event venue and décor elements for SAFTAs20 (SAFTAs 2027). NFVF invites venue service providers with proven ability to host large awards, accommodate ~3,000 guests, and deliver venue, décor, security, catering, JOC, and related production services, with required compliance (SBDs, tax clearance, CSD, BBBEE).

Requirements

• Venue to host 3,000 guests over 9 days (build, rehearsals, two shows, red carpet, after-parties, break-down) with security, paramedics, JOC, and ministerial checks.
• At least 5 years’ experience in hosting large awards; provide five referees for events with >3,000 participants.
• Team Leader: 5+ years’ relevant experience; qualifications (Diploma or higher) in a related field; CV to be attached.
• Detailed Project Plan including protocol, publicity, coordination, parking, red carpet, furniture/decor, catering, security, and risk management.
• Administrative/compliance: CSD registration, original Tax Clearance Certificate, SBD forms (1, 2, 3.3, 4, 6.1, 8, 9), company profile, VAT status; BBBEE certificate.
• Pricing: VAT-inclusive quotes with clear cost breakdown; willingness to provide a formal price schedule.
• Evaluation: four stages (Administrative Compliance, Functionality, Presentations, Price/Specific Goals); minimum 75/100 for functionality; 80/20 (price) and specific goals weighting.

• Submission method: hard copy in sealed envelopes; electronic submission may be accepted per metadata.
• Documents to submit: SBD 1, SBD 2 (original Tax Clearance), SBD 3.3 (Pricing Schedule), SBD 4, SBD 6.1, SBD 8, SBD 9; company registration documents; CSD report; BBBEE certificate; VAT if applicable; company profile; referees’ letters; detailed project plan.
• Prequalifications: CSD registration and tax compliance; proof of CSD; original Tax Clearance; BBBEE verification; consent for JV arrangements if applicable.
