Overview

CCMA seeks a cloud-based Asset Verification Solution, including end-to-end implementation, 10 asset verification scanners (owned by CCMA), 6 licenses for a 3-year term, and 3-year maintenance and support. Bidders should have proven asset-verification implementation experience, be OEM-authorized, and be able to integrate with CCMA’s Azure-hosted environment and existing systems (e.g., Sage 300 ERP) while reading CCMA’s Tesa barcode tags without re-tagging.

Requirements

• OEM authorization and support: provide a letter confirming OEM identity, bidder as authorized partner, solution name/version, South Africa authorization, and OEM verification contact details. (RFQ 221066 CLOUD - BASED ASSET VERIFICATION SOLUTION.pdf)
• Asset verification and scanning readiness: must read CCMA’s existing Tesa Silver tags; submit product datasheet with supported barcode symbology, proposed scanner model, tag compatibility, and any required configuration. Include the scanner’s datasheet.
• Technical capabilities: cloud-based asset verification software with central asset register, verification, location tracking, evidence capture, audit trails, dashboards, RBAC, and APIs for integration (ERP, HR).
• Security and compliance: data encryption in transit and at rest, secure authentication, backups, data recovery, PoPIA/GRAP/PFMA compliance, data residency in SA; hosting on CCMA’s Azure tenant.
• Scanning hardware specs: handheld devices with 4 hours offline, 8 hours battery, IP65 and 1.2 m drop resistance; supports barcode/QR/RFID, Wi-Fi/Bluetooth/4G, fast retrieval (≤60 seconds).
• Evaluation readiness: mandatory documentation (proof of ownership/founding docs, IDs, medical certificate for disability of owner), SBD4 and SBD6.1 forms; Stage 2A (technical) and Stage 2B (presentation) with minimum scores; 3-year pricing and 3-year maintenance planning. (RFQ documents)
