Overview

This RFQ seeks a service provider to occupy and operate the MBTC Coffee, Snacks and Refreshments Bar and to supply catering for MBTC events. Suitable bidders are catering/hospitality operators with venue-bar and event-catering experience, ability to run a cash-free system, and compliance with food-safety, POPI, and local procurement rules.

Requirements

• Occupy and operate MBTC Coffee and Snacks Bars Monday–Saturday; provide catering for MBTC meetings, workshops, launches, performances, and events; Sundays by request.
• Provide professional staff, maintain hygiene, health and safety, quality food and customer service; operate independently from MBTC’s Liquor Bar and Sweet Counter.
• Adhere to a cash-free system; conduct customer satisfaction assessments and market research.
• Comply with POPI Act; ensure CFS and related data protections.
• Price must be VAT inclusive and include delivery; provide price breakdown; complete MBTC RFQ forms (SBD 4, SBD 6.1); bid valid for 90 days; no prepayment.
• Mandatory lease terms: 3-year contract with annual review; 40% rental concession for first 3 months; security deposit equal to two months’ rent.
• Equipment: provide own kitchen/catering gear; MBTC assets on site remain MBTC’s; return in good condition.
• Mandatory requirements (Stage 1): valid public liability cover; COA for food premises (Regulations R638:2018); non-compliance leads to disqualification.
• Eligibility (Stage 2): company profile with experience; reference letters; market and menu pricing evidence; cash-free POS system; minimum score 40/70 to advance; Eastern Cape local preference encouraged.
