EVENTS FACILITATION FOR A PERIOD OF TWO (2) YEARS

Overview

Appointment of a Service Provider for Events Facilitation for a period of two (2) years. Kouga Local Municipality invites bids from experienced event management/service providers to facilitate events over two years. Evaluation will be on an 80/20 basis (80 for price, 20 for specific goals; proof/documents required to claim points). Tender documents are available on the Etender portal and the municipal website. A compulsory virtual clarification session is scheduled for 3 November 2026 at 10:00 via Teams. Telegraphic, telephonic, telex, facsimile or late tenders will not be accepted.

Requirements

• 80/20 evaluation; submit proof/documents to claim points for specific goals.
• Valid Tax Compliance Status PIN.
• Registration on Kouga Municipality’s Supplier Database.
• National Treasury Central Supplier Database (CSD) Summary report.
• Council may appoint more than one contractor and is not obliged to accept the lowest tender.
• Tender validity: 90 days from closing date.
• Submit an ORIGINAL hard copy and a copy on USB or CD; electronic copy submitted and required printout pages to be complete and in order.
• The municipality may apply additional vetting methods to verify capacity.
• Briefing is mandatory; all inquiries via email to tenders@kouga.gov.za and copied to anene@kouga.gov.za.

How to Apply

• Submission deadline: 19 November 2026 at 12:00 (Advert Notice 253/2026: Events Facilitation). Late or out-of-box submissions will be rejected.
• Submission method: Electronic submission via the Etender portal; also place a sealed hard copy in the Tender Box at 16 Woltemade Street, Jeffreys Bay, with the tender endorsed as per the advert; include electronic copy on USB/CD.
• Documents to complete/submit: Completed tender document with returnable documents; hard copy and USB/CD copies; ensure all pages are printed (per advert).
• Required registrations/pre-qualifications: Tax PIN; Kouga Supplier Database; Central Supplier Database (CSD) Summary.
• Briefing session: Compulsory Clarification on 3 November 2026 at 10:00 (Teams Meeting). Access details are provided in the advert; late attendees will not be admitted.
