Overview

merSETA seeks a service provider to plan, produce and manage a two-day Free State Stakeholders’ Engagement session (hybrid) including live streaming, AV, and audience engagement. Target bidders are capable event producers with hybrid/virtual conferencing, AV engineering, streaming, and stakeholder engagement experience, able to supply a detailed plan, CVs for key roles, and reference projects. The event is scheduled for 12–13 October 2026; venue in Free State to be confirmed. (RFQ-Free state Stakeholder Engagement.pdf)

Requirements

• Detailed project plan with CVs for key roles: Technical Director, Streaming Operator, Audio Engineer, Camera Operators (x3) with assistant, Vision Mixer, Technical Assistant.
• Company profile, equipment inventory, and references to at least three similar hybrid events.
• Enhanced content engagement: interactive platform (polls, Q&A), two-way communication, and relevant software; provide raw footage and transcripts after each event.
• Contingency plan for technical/power/network issues; stable online connectivity (minimum 50 Mbps upload/download).
• Full equipment list with model names; deliver PA, live streaming, LED/video screens, stage setup as specified.
• Dry-run completion by 22:30 the day before; setup by 19:00.
• Compliance with procurement rules: complete SBD forms (SBD 4, SBD 6.1, SBD 7.1), tax/CSD/VAT compliance, and BBBEE where applicable.
• merSETA may appoint multiple suppliers or require an SLA/Contract (SBD 7.1/7.2).

• Required documents: SBD 4, SBD 6.1, SBD 7.1, Pricing Schedule, CSD supplier number, BBBEE certificate, tax clearance, and any other mandatory forms. Use the official merSETA quotation form; add extra pricing breakdown on company letterhead if needed.
• Registrations/pre-qualifications: CSD number; tax compliance; BBBEE as applicable.
