Overview

merSETA invites bids for the North West Stakeholders Engagement, a hybrid event production including live streaming, AV, staging, and interactive audience engagement. Suitable bidders are experienced event producers/AV specialists with CVs for roles such as Technical Director, Streaming Operator, Audio Engineer, Camera Operators, Vision Mixer, and Technical Assistant; must provide references for similar hybrid events, detailed equipment lists, and a robust contingency plan. Compliance requirements include CSD registration, BBBEE, tax compliance, and Standard Bidding Documents.

Requirements

• Detailed project plan with CVs for all key roles; provide equipment inventory and references for at least three similar hybrid events.
• Demonstrate capability for hybrid streaming, polls/Q&A, and interactive platforms; minimum 50 Mbps upload/download speed; include contingency plan.
• Provide full equipment lists (with model names) and a complete setup timeline (setup by 19:00, dry runs by 22:30 the day before).
• Deliverables include live streaming for 100 online attendees, TV/LED screens, stage setup, and an engagement platform (e.g., Mentimeter/Slido) with licensed access.
• Submit references, company profile, and proof of BBBEE, CSD number, and tax compliance; complete SBD forms (SBD 4, SBD 6.1) and Pricing Schedule.
• Evaluation includes minimum thresholds for experience, references, project plan, and video demonstrations, with price and preferences (80/20).

• Submission: via email to quotations@merseta.org.za (RFQ number in subject). Late submissions are not considered.
• Documents to submit: completed SBD forms (SBD 4, SBD 6.1, SBD 7.1), Pricing Schedule, CSD number, BBBEE certificate, tax clearance, company profile, CVs, equipment list, references.
• Registrations: Central Supplier Database (CSD) registration, tax matters in order.
• Briefing: Non-compulsory session on 23 September 2026 at 13:30, online (Microsoft Teams). Physical briefing address appears in the tender metadata, but the RFQ specifies online participation (see attached RFQ document: RFQ-North West Stakeholder Engagement.pdf).
