Overview

Statistics South Africa seeks quotes for off-site storage facility management for backup tape cartridges for 24 months. Suitable bidders are IT/storage service providers with secure, fire/waterproof off-site storage, digital tracking, access control, and disaster recovery capabilities, plus compliance with CSD registration, tax clearance, BBBEE, and related documentation.

Requirements

• Off-site storage for backup tape cartridges for 24 months in a secure, fire/waterproof facility with access control and a digital record management/tracking system.
• SLA: tapes requested urgently within 2 hours; non-urgent within 8 working hours; weekly collection/delivery on Wednesdays (alternative arrangements if holidays).
• Dedicated personnel (with ID) and branded vehicles; advance notice for personnel changes; system ensuring only Stats SA-authorised requests.
• Storage canisters: capacity for 24 tapes; dedicated storage vault/container with tracking labels.
• Retention/storage scope: 4 weeks to 5 years; canisters sized accordingly (up to 24 tapes).
• Pricing: fixed yearly total cost for Year 1 and Year 2 plus variable costs; all VAT-inclusive.
• Mandatory documentation: SBD 4 (Bidder’s Disclosure) and SBD 6.1 (Preference Points) plus CSD registration, tax clearance, company registration, BBBEE, and OEM certificates if applicable; declaration of interest.
• Evaluation: 80/20 price/criteria (80 for price, 20 for specific goals); points for HDI ownership, gender, youth, and disability as indicated in SBD 6.1.
