Overview

Procurement of portable air conditioners for ARC-OVI's BSL-3 laboratory, with mandatory brochure submission. Bidders with HVAC/lab-grade equipment experience, biosafety-compliant delivery capability, and capability to operate in a BSL-3 setting should consider bidding.

Requirements

• Bidders must be registered on the Central Supplier Database (CSD) and include the CSD registration number and full CSD report.
• Submit a written quotation by 14 September 2026 11:00 to MofokengK@arc.agric.za; include brochures and a specification sheet (Special Condition: brochures must be provided, failure to provide will lead to disqualification).
• Complete and sign Standard Bidding Documents (SBD) forms; include with the bid.
• Deliver to ARC-OVI in Pretoria; quotation must specify delivery period (not to exceed 4–8 weeks) and include delivery, installation where applicable, and after-sales maintenance options.
• Include warranty details (2-year manufacturer warranty and an additional 2-year guarantee) and confirm surge protection plug requirements.
• Provide energy-efficient units with specified features (e.g., 12,000 BTU cooling/heating, remote, LED display, 24-hour timer, dehumidification, ability to fit through standard doors, and ability for delivery personnel to enter a BSL-3 lab).
• Address special delivery restrictions and biosafety compliance (BSL-3 regulations; no lifts; carry through stairs; avoid contact with cloven-hoofed animals after visiting the facility).
• Indicate pricing in ZAR, inclusive of VAT and delivery; claims for specific-goal points (HDI ownership, women, youth, PwD, SMME promotion, BEE) must be supported with documentation.
