Overview

Provision of event management service, tents, chairs, stage assembly and sound (P.A) service under a two-year framework agreement. Open to all qualified bidders with capability in event management, tent and seating rental, staging and PA systems for public-sector events; bidders should have capacity for as-and-when-required delivery for Machakos County.

Requirements

• Open National Tender; JV not allowed (maximum JV members: NONE).
• Submit in a plain sealed envelope marked with the tender number; deposit in the Tender Box at Machakos County Headquarters; deadline 21 October 2026 at 11:00 EAT; late bids rejected.
• Tender documents obtainable from www.machakos.go.ke or www.tenders.go.ke; questions to supplychain@machakos.go.ke (5 days before close); responses posted on the websites.
• All Tenders must be accompanied by a Tender Securing Declaration Form; pages serialized; and documents as per Section IV (Form of Tender, Price Schedules, etc.).
• No electronic Tender submissions; hand delivery only for submission; subsequent public opening.
• Tender validity period as specified in the TDS (per ITT 17.1, 119 days).
• Tax clearance and compliance requirements apply; bidders must meet eligibility and conformity criteria (including Manufacturer’s Authorization if required, and evidence of tax obligations).
• Pre-bid conference not applicable; inquiries handled in writing.

How to Apply

• Prepare and submit: Form of Tender; Price Schedules; Tender Security or Tender-Securing Declaration; Joint Venture documents if applicable (Note: JV not permitted); Authorization; Eligibility and Qualifications documents; Evidence of conformity to Schedule of Requirements.
• Ensure all pages are serialised and the submission is in a sealed envelope with separate inner envelopes for the tender documents and for copies (as specified), delivered to the Ground Floor Tender Box by 21 October 2026 at 11:00 EAT.
• Schedule includes public opening at Machakos Headquarters; no electronic submission.
