Overview

SANAS seeks an offsite backup tapes storage and collection service provider to store, rotate and retrieve physical backup tapes under audit-controlled conditions. The contract is 36 months, starting 1 November 2026, and requires ISO, PRISM and POPI-compliant document management capabilities, with barcode tracking, audit trails, tamper-evident seals, and a vault capable of holding up to 50 tapes at a time.

Requirements

• Offsite storage and weekly tape delivery (Friday) and pickup (Monday), with holiday adjustments; up to 50 tapes stored at once
• Sealed, secure container transport; tamper-proof seals; authorized personnel only
• Vault must be SABS-approved, temperature/humidity controlled, fireproof, 24/7 monitored, and 24/7 emergency service
• Evidence required: Certificate of SABS for climate control; fireproofing certificate
• Complete audit trail of tape movement; barcode tracking
• All consumables included in quoted price (tags, boxes, etc.)
• Annexure A (pricing) to be included; pricing for 3 years, with VAT included
• Evaluation includes SANAS-specific goals (B-BBEE) and price; a valid BBBEE certificate or sworn affidavit required
• Administrative: complete SBD 4 and SBD 6.1; valid tax PIN; CSD report/summary; compliant tax status
• Payment terms: 30 working days after valid invoice
