Overview

Procurement of an Events Coordination Company to plan and execute Iziko Museums of Cape Town’s Izi Women 2026 event on 08 August 2026 across three Cape Town venues. Bidders should be experienced in multi-venue event management with capabilities in contracts (speakers/performers/MC), decor, AV, branding, guest management, photography/videography, security, and on-site logistics. Compliance requires completing standard supplier and procurement documentation.

Requirements

• Experience delivering a multi-venue event (Wellness, Long Table Dialogue, Evening Concert) at three sites (Company Gardens, Castle of Good Hope, Old Town House).
• End-to-end event coordination: speaker/performer contracts and payments; venue decor/branding; guest management; photography and videography; appointment of fitness trainer; procurement of yoga mats; graphic design coordination.
• AV and stage specs: PA systems (2x and 4x mics), stage 8m x 6m, 2–3m height, lighting, and onsite technical support; high-end videography (4K) across all sites.
• Access control and security: 270 wristbands; 4 security staff with PSIRA Grade D.
• Compliance: submit Central Supplier Database report, Tax Status/PIN, detailed pricing, and a valid B-BBEE certificate or sworn affidavit; adherence to SBD 4 & 6.1 declarations. (Refer to Events Coordination RFQ.pdf)
