Overview

The City of Johannesburg invites quotations for the procurement of various services for two Cycling Campaign Events (X2). The scope covers design and production of event materials, security planning and personnel, medical and safety services, logistics and on-site amenities, and related communications assets for two activations (one in Oct 2026 and another in 2027). Requirements

• SASRIA-approved Security Certificate is compulsory, plus a draft security plan and on-site security provision (30 security personnel with radios) and marshals (40, from the event region, paid at EPWP rate).
• Medical plan for the day with on-site ambulance and escort car.
• Sanitation and hydration basics: toilets (4 unisex + 1 disabled) and substantial water provisions (sachets, bottled water, energy drinks, energy bars).
• Event collateral and logistics: design/production of posters (50 A1 posters from internal A5 design), Adreach poster permissions, backdrops, cable ties, audio hire (generator and sound system), medals (COJ), UV arm sleeves.
• Compliance: complete and sign all RFQ forms (Form A–Form J), provide a valid Tax Clearance or SARS PIN, BBBEE certificate or sworn affidavit, and ensure registration on the Central Supplier Database (CSD) and City of Johannesburg Supplier Database.
• Other: comply with Occupational Health and Safety Act requirements; adhere to the City’s SCM policies; forward exchange-rate cover if pricing is currency-based; prices must be VAT-exclusive and valid per tender rules.

Documentation and forms (refer to attached RFQ: COJ0005-26/27) will be used to assess eligibility and preference points (80/20). CIDB and SETA-related prerequisites apply if relevant to the scope.

How to Apply

• Submission deadline: 01 October 2026 at 10:30 (closing time). Documents must be deposited in the quotation box as specified in the RFQ (COJ0005-26/27) (Sappi Building, Reception, 48 Ameshoff Street, Braamfontein).
• Submission method: sealed envelopes, clearly marked with RFQ number and closing date/time; quotations opened at the specified venue.
• Documents to complete/submit: Form A–Form J (and related attachments), MBD 4, MBD 8, MBD 9, Declaration on State of Municipal Account, Occupational Health and Safety agreement, BBBEE documentation, Tax Clearance/SARS PIN, VAT status, and CIDB/SETAs if applicable.
• Registrations: City of Johannesburg supplier database; Central Supplier Database (CSD) registration; tax/vat compliance.
• Briefing and other details: not specified in the RFQ.
