Overview

Provision of 50 portable handheld point-of-sale ticketing devices with embedded PRASA-compatible software, payment facilitator and gateway, including support and maintenance for a duration of 6 months. Bidders should be qualified PoS hardware suppliers with experience in rail/bus ticketing, EMV Level 3 certifications, PCI DSS, POPIA, and integration to PRASA’s APK; devices must be NEW9220 or equivalent, include data connectivity (non-MTN SIM, 2 GB/month per device), and offer licensed software, maintenance, and a clear path to settlement and reconciliation with banks. Submissions are via SAP Ariba.

Requirements

• Authorization to distribute/sell the proposed solution.
• Supply 50 NEW9220 smart PoS devices (or same SA-registered spec) with protective pouches and charging accessories.
• Embedded payment facilitator/gateway with clearing across SA banks or integration to PRASA’s services; include EMV Level 3 fees.
• Software governance: registered, certified, digitally signed software; secure terminal management; full integration with PRASA systems and APK; NDoT ABT, POPIA, PCI DSS compliance.
• Connectivity: non-MTN SIM per device with 2 GB/month data for 6 months.
• On-site testing device prior to award; 50 devices available within one week of appointment; monthly reporting requirements; knowledge transfer and training.
• Six-month licensing, maintenance, and support; EMI Level 3 certifications for Mastercard/Visa; encryption, tokenisation and audit logging.
• Minimum resource: PoS Device and Embedded Payment Software Support Specialist with 7+ years’ experience; CV + consent letter (Annexure B).
• Stage 1 compliance (B-BBEE, CSD, TCS, etc) and Stage 2 technical compliance (device specs, payments, security) are mandatory.

• Deadlines: Submission by 2026-10-28 12:00; RFQ issue 2026-10-20; validity 60 working days.
• Documents to submit (via Annexures): Annexure A pricing (pricing must be separate from technical proposal); Annexure B consent letter for CV; Annexure C references; authorisation letter; CV for the key resource; evidence of required certifications.
• Deliverables/timeline: 1 test device before award; 50 devices within 1 week of appointment; ongoing licensing, connectivity, and support for 6 months; monthly reports.
