Overview

This RFQ seeks a three-year third-party vehicle service and maintenance plan for William Humphreys Art Gallery’s official vehicles. Bidders should be capable fleet-service providers with access to authorised dealerships or accredited service centres, able to supply manufacturer-specified scheduled services, parts, diagnostics and reporting for WHAG’s vehicles.

Requirements

• Vehicles to be covered: Mercedes-Benz Vito 116 CDI Mixto 2.2 (WHAG 02 NC 82) and Toyota Corolla Quest 1.6 Plus (WHAG 01 NC 16).
• Scope of work includes: scheduled services, labour and parts, oil/filters, air/fuel/cabin filters, brakes, suspension/steering, electricals, battery testing/replacement, fluids, diagnostics, roadworthiness, service reports, and access to authorised/service centres.
• Contract period: 3-year maintenance plan; specify start date, current mileage or next service, kilometre limits, monthly or one-off price, inclusions/exclusions, and claim procedures.
• Quotation content: cost per vehicle, combined price (if applicable), VAT, plan duration, coverage, exclusions, service-centre availability, claims contact, and any excesses or restrictions.
• Mandatory documents (responsiveness): company profile; CSD registration; tax compliance status; CIPC docs; valid B-BBEE certificate or affidavit; proof of business address; proof of accreditation/registration to provide vehicle service plans; proof of motor-industry body registration (if applicable); sample maintenance plan/terms.
• Registrations: all bidders must self-register on the Central Supplier Database.
