Overview

NMISA seeks proposals for a secure, customised Board Management System to streamline board packs, collaboration, workflows, and governance records. Suitable bidders are service providers with proven board-management software experience, strong information security (ISO 27001), and capability to supply, install, configure, train, and support a cloud-based solution that integrates with Microsoft 365 and works on mobile devices.

Requirements

• Must be an authorised Board Management System provider with proven capability to manage sensitive board documents and have implemented similar solutions for government entities.
• Functional capabilities include automated board pack assembly, agenda/minutes, annual board calendar, real-time collaboration, e-signatures, dashboards, secure messaging, action tracking, offline access, audit trails, in-meeting voting, watermarking, and document-level permissions.
• Technical: mobile/tablet compatibility (iOS/Android/Windows), integration with Microsoft 365 (Outlook/Teams/OneDrive/SharePoint).
• Security/compliance: ISO 27001 certification, advanced encryption, multi-factor authentication, mobile device management (remote wipe), RBAC, granular document permissions, high-availability/cloud DR.
• Training and support: onboarding/training, user manuals, 24-hour help desk, ongoing maintenance post go-live.
• Evaluation will include compulsory technical conformance (must meet all), bidder experience (10+ years preferred, with references), risk management approach, administration/ease of use, governance understanding, and price/BBBEE under the 80/20 or 90/10 scheme.
