RFQ16/2026-2027: PROVISION OF CONFERENCE FACILITY, CATERING- AND DECOR SERVICES IN CLANWILLIAM. Cederberg Municipality invites quotations for a combined conference venue, catering and décor package in Clanwilliam; suitable for suppliers of event facilities, catering and décor with the ability to deliver a full service.

Requirements

• Fully submitted quotation on time; price inclusive of VAT; valid for 30 days.
• Registration on the Central Supplier Database (CSD) with proof; municipality may not award to non-registered bidders.
• Tax clearance certificate or PIN for verification; VAT registration if applicable.
• Completed MBD4 (Declaration of Interest), MBD8 (Declaration of Municipal SCM practices) and MBD9 (Certificate of Independent Determination).
• B-BBEE Verification Certificate (SANAS) or approved alternative; 80/20 evaluation includes 10 BBBEE and 10 Locality points.
• Locality evidence (within Cederberg/West Coast/Western Cape) to claim points.
• POPI consent to process personal information; comply with GCC and related procurement rules.
• No bids from persons in the service of the state; disclosure of potential conflicts of interest.
• Price to be firm and inclusive of VAT; proof of delivery terms required.

How to Apply

• Obtain documents during office hours from The Supply Chain Management Unit or via scm@cederberg.gov.za. (RFQ16/2026-2027)
• Submit bid clearly endorsed with RFQ16/2026-2027, by email or hand delivery to Supply Chain Management Office, 01 Plein Street, Clanwilliam, or scm@cederberg.gov.za, not later than 12:00 on 09 October 2026 (documented in the RFQ).
• Include required forms and registrations with the quotation: MBD4, MBD8, MBD9, MBD6.1 (Preference Points), B-BBEE docs, tax clearance or PIN, CSD proof, and POPI consent.
• Ensure price is valid for 30 days; include delivery timeline; follow black-ink signing and no corrections with White-out.
• Evaluation is 80/20 (price 80; specific goals 20: BBBEE + Locality).
