Overview

Appointment of a service provider for the renewal and licensing of the Sage 300 People HR & Payroll System for 3 years (cloud-based). Bidders with proven Sage 300 HR & Payroll licensing/renewal experience, maintenance and support capability, API integration, and training will be considered. Evidence required includes appointment letters and reference letters for Sage renewals, and a valid Sage Partner Certificate/Confirmation. Bidders must also meet compliance requirements: Central Supplier Database (CSD) registration, SARS Tax Compliance Status (PIN), municipal rates clearances for company and directors, and the ability to operate under a 3-year SLA.

Requirements

• Proven track record in renewal/licensing of Sage 300 HR & Payroll for public sector, demonstrated by multiple project references (appointment letters/orders and reference letters).
• CSD registration and tax compliance: provide CSD details; SARS PIN/TCS; for joint ventures, each party must be tax compliant; foreign suppliers complete pre-award questionnaire.
• Municipal rates and taxes: provide proof of good standing for company and each director (municipal rates/taxes); company director rates in good standing.
• Sage Partner Certificate/Confirmation.
• Complete and submit all mandatory MBD forms (MBD1, MBD4, MBD6.1, MBD8, MBD9) and the Pricing Schedule (MBD3.1) showing 1300 users and 15 cloud users; prices must be firm and valid for 90 days.
• Delivery: three-year SLA with annual license renewal; maintenance/support up to 250 hours/year; training; API integration; delivery within 7 days of PO.

• Submission method: Deposit in the Bid Box at 75 Hope Street, Kokstad 4700, in a sealed envelope labelled with the Bid No. (GKM 14-26/27) (SAGE 300 - TENDER DOCUMENT).
• Documents to submit: MBD1, MBD4, MBD6.1, MBD8, MBD9, MBD3.1 pricing, CSD details, SARS PIN/TCS, municipal rates proof, Sage Partner Certificate, addenda.
• Pre-qualifications: CSD registration; SARS PIN/TCS; municipal rates clearance for company and each director; JV documentation if applicable; foreign supplier questionnaire if relevant.
• Briefing: site inspection/tender briefing details to be provided in Addenda; attendance may be mandatory (refer to tender docs).
