Overview

Supply and deliver ID cards and printing equipment for PRASA/RAIL in the Western Cape region. Bidders should be able to supply ID card ribbons, laminating materials, blank smart cards, PRASA-branded lanyards, and card holders, with delivery to PRASA in the Western Cape. Requirements include registration on the Central Supplier Database (CSD) and SARS tax compliance. The process uses an RFQ framework; expect a 60-day validity and a submission deadline in late July.

Requirements

• CSD registration required; provide CSD number (if applicable)
• Tax compliance: SARS PIN or valid TCS certificate; submit with bid (or via CSD if no TCS)
• Proof of company registration documents; certified directors’ IDs; BBBEE certificate or sworn affidavit
• Completion of ALL RFP documentation (including declarations) and, if applicable, Joint Venture/Consortium/Subcontracting agreements
• CSD supplier registration number; CIDB rating not mandatory for this RFQ (N/A)
• Stage 1A mandatory items: CIDB grade proof (N/A); bid bond (N/A)
• Returnable documents and Forms: SBDs, Briefing Session Form D, and related declarations
• If applicable, separate TCS/CSD evidence for each party in a consortium

How to Apply

• Submission deadline: 31 July 2026 11:00 (late bids will not be considered).
• Submission method: to the PRASA bid box at 1 Adderley Street, Cape Town or emailed to RFQWC@prasa.com (do not copy the buyer in email).
• Documents to submit: use official bid forms; complete the Pricing Schedule (Section 9, see the attached PDF); provide all mandatory returnable documents and declarations (SBD forms, SARS TCS/PIN evidence, CSD number, BBBEE proof, JV documentation if any). Pricing must be in South African Rand, with a fixed price and VAT included, and aligned to the attached pricing schedule in the RFQ document (see Pricing Schedule in the attached file).
• Registrations/pre-qualifications: ensure CSD registration and SARS PIN/TCS; if part of a consortium, provide separate TCS/CSD for each party. CIDB grading is not required for this RFQ.
• Briefing: a briefing session is noted at the RFQ address, and, if applicable, Form D attendance must be recorded (the attached RFQ contains a Certificate of Attendance template).

• Evaluation notes: expect compliance checks, 80/20 price scoring, and specific goals (BBEE level 1 or 2; at least 51% black youth ownership) as per the SBD and PPPFA framework. The pricing schedule and forms referenced in the attached RFQ govern submission format.
