Overview

This tender seeks the supply and delivery of a video conferencing solution including support and maintenance for five years, integrated with Microsoft Teams, across SANRAL offices nationwide. The contract covers supply/install/commission and five years of maintenance, with mobile video conferencing trolleys and fixed installations (as per the pricing schedule). Requirements

• Certified reseller or OEM partnership for the proposed solution, with OEM confirmation.
• ISO 45001 certification.
• Site visits attendance certificate.
• Registration on the National Treasury Central Supplier Database (CSD); if in a JV, each member must be registered.
• SARS Tax Compliance: valid PIN or tax clearance; ability to provide TCS if applicable.
• B-BBEE status verification or sworn affidavit; JV must present consolidated B-BBEE status; JV agreement if applicable.
• At least three recent references for video conferencing solutions (past 60 months).
• Key personnel: CVs for Project Manager and technical team; relevant qualifications and certifications (e.g., Prince2/PMP).
• Detailed Project Management Methodology and transition plan (handover to operations).
• Technical compliance: complete product brochures, OEM/reseller proof, and site visit certificates.
• Sub-contracting plan to Targeted Enterprises with monthly reporting; penalties for non-compliance.
• Returnable documents (A1–A18 forms) completed and current for contract term; pricing aligned to the schedule.

How to Apply

• Submission deadline: 31 July 2026 at 12:00; sealed in a clearly marked envelope, placed in the SANRAL tender box (COC Building, 36 Assegaai Wood Street, Centurion). Include one original, one hard copy, and one electronic copy.
• Clarifications: queries by 27 July 2026 17:00 via ProcurementER1@sanral.co.za.
• Briefing: non-mandatory session on 15 July 2026 at 12:00 via MS Teams (link in RFP). Physical site inspections are mandatory; dates/venues: HO Centurion 20 July, ECP Port Elizabeth 22 July, WCP Bellville 24 July (attendance required; see attached notes).
• Documents to submit: complete SBD1 form and all listed returnable documents (Forms A1–A18, B1–B9, etc.) plus the Pricing Schedule (RFP pricing format must be used).
• Delivery/implementation: equipment to be delivered and commissioned within 12 weeks from contract date (excluding North West office); payment milestones only after delivery/commissioning.
