Overview

RFQ for the supply and delivery of Bulk Dry Food Ingredients and Frozen Foods including Bread and Dairy Products for SANAE Antarctic relief voyages, to be delivered to the SANAP Warehouse at East Pier, V&A Waterfront, Cape Town. Suitable bidders are food suppliers capable of ISO 22000/SABS-compliant quality systems, with cold-chain logistics to at least -18°C, and the ability to supply long-shelf-life items (annexure lists available in DFFE RFQ 235 FOOD SANAE 2026.pdf).

Requirements

• ISO 22000 or equivalent quality management system; SABS/Agricultural product standards.
• Food items with shelf life: minimum 14 months from delivery (or batch date not earlier than 2 months prior).
• Maintained cold chain: core temperature -18°C or lower during transit and storage; refrigerated transport required.
• Packaging restrictions: no polystyrene beads; minimize polystyrene, cardboard, plastic strapping.
• Premises/hygiene: compliant with SA hygiene/health regulations; facility inspection possible.
• Delivery window: deliveries during DFFE working hours (08:30–15:00); offloading manpower provided by the vendor; careful handling to avoid contamination.
• Replacements: damaged/expired items replaced within 3 days at bidder’s expense.
• Documentation with each delivery: fully updated delivery notes; batch inspection notes and non-compliant items replaced within 3 days.
• Delivery address: SANAP Warehouse, East Pier Building, V&A Waterfront, Cape Town; inland storage/receiving arrangements via DFFE.
• Compliance requirements for preferential procurement (if claiming points): SBD4, SBD6.1; SANAS/CIPC B-BBEE certificate or sworn affidavit; CSD MA A A number; Medical certificate for disability (if claiming); tax/VAT status; ability to substantiate preferences on request.
