Overview

The Malawi Prison Service invites quotations for the supply and delivery of Tailoring Materials/Accessories. Bidders should be suppliers/distributors of tailoring goods capable of meeting Malawi public procurement requirements and providing valid registration and compliance documents (e.g., PPDA certificate, tax registrations).

Requirements

• Valid business registration and compliance documents: Section B requires a Business Registration Certificate, PPDA certificate, MRA VAT registration, MRA Withholding Tax Exemption, tax clearance, and a list of recent government contracts.
• Compliance with procurement terms: quotations subject to Government of Malawi General Conditions of Contract for Local Purchase Orders; terms may be applied as modified by the RFQ.
• Quotation terms: 30-day validity; delivery within 7 days of order; fixed prices for the quotation period; 12-month warranty; prices in Malawi Kwacha.
• Delivery terms: EXW – insured and delivered within Malawi or CIP to PRISONS (for imports); delivery point: Prison Headquarters.
• Evaluation and award: partial quotations may be rejected; lowest priced quotation by item or total; award via Local Purchase Order.
• Attachments and specifics: complete Sections B and C; attach required documents and any requested samples (see Section C and attached documents).

How to Apply

• Submission deadline: 16/10/2026 at 14:00; sealed envelopes to be delivered to the IPC Chairman, Prison Headquarters, P.O. Box 28, Zomba (SUPPLY AND DELIVERY OF TAILORING MATERIALS/ACCESSORIES).
• Submission method: return the quotation on the RFQ form, completing Sections B and C.
• Documents to submit: Section B and Section C completed; copies of Business Registration Certificate, PPDA certificate, VAT certificate, Withholding Tax Exemption, Tax Clearance; list of recent government contracts; and any other documentation the Procuring Entity requires (see RFQ).
• Pre-qualification/registrations: ensure PPDA, VAT, tax clearances, and other listed registrations are current (see attached RFQ).
• Where to obtain bid documents: the RFQ text (see attached document SUPPLY AND DELIVERY OF TAILORING MATERIALS/ACCESSORIES). The Schedule of Requirements is in Section C; quote by lots as detailed therein.
