SUPPLY, DELIVERY, INSTALLATION AND COMMISSIONING OF AUDIOVISUAL EQUIPMENT FOR GREATER KOKSTAD MUNICIPALITY COUNCIL CHAMBER

Overview

Procurement of supply, delivery, installation and commissioning of audiovisual equipment for the Greater Kokstad Municipality Council Chamber. Bidders should be AV equipment suppliers/integrators with installation capability, warranty/after-sales support, and the ability to provide OEM certificates as applicable. The process is an Open-Tender with two-stage evaluation (functionality then price and preferences).

Requirements

• Complete and submit all mandatory municipal bidding documents (MBD1, MBD4, MBD6.1, MBD8, MBD9) and the price schedule.
• Tax/compliance: SARS Tax PIN/TCS status and/or CSD registration; proof of tax clearance where applicable.
• Provide proof of warranty for components; provide/or attach documentation for BBBEE status (certificate or sworn affidavit for EMEs/QSEs) to qualify for preferences.
• Returnable documents: CSD printout (not older than 3 months), proof that company and directors do not owe municipal rates/taxes (90 days), SARS PIN, and joint venture agreements if applicable.
• Functionality threshold: minimum 60 points to pass Stage 1 (Company Experience 50; OEM Partner/Reseller Certificate 30). Then 80/20 pricing and preference scoring in Stage 2; include documents to verify specific goals (ownership by black persons/black women; RDP goals within KZN).
• Attendance at compulsory tender briefing; sign the attendance register.
• No bids from state actors or entities with non-compliant debt; adhere to all SCM and GCC terms.

How to Apply

• Obtain documents from the E-tender Portal or Greater Kokstad website (no cost) (see attached tender docs).
• Submission: deposit sealed bid in the Bid Box at 75 Hope Street, Kokstad, by 06 November 2026 at 12:00; ensure bid number GKM 17-26/27 is visible (box and timing per attached docs).
• Briefing: compulsory briefing on 27 October 2026 at 10:00, Adam Kok III Building, 75 Hope Street; late entrants not admitted (see document for exact venue).
• Documents to submit (where applicable): MBD1 (Part A & B), MBD4, MBD6.1, MBD8, MBD9, CSD, SARS TCS, tax clearance, warranty proof, JV documentation if any.
• Submissions must be in the official bid forms (no retyping) and accompanied by the required supporting materials.
• The Municipality may reject non-complaint bids and reserves the right to not award to the lowest bid or accept part of a bid.
