Overview

Three-year contract to establish a panel of events management providers and hire of events equipment. It covers planning and management of municipal events, hire of AV and event equipment, decor, promotions, transport, and related services across all wards of uMlalazi Municipality. Suitable for experienced events coordinators, AV/tech suppliers, decor and catering firms, transport providers, and promotional-product companies that can operate under municipal SCM processes and OHSA requirements.

Requirements

• Valid original Tax Clearance Certificate from SARS; CSD registration and proof; Rates Clearance Certificate; COIDA/workers’ compensation in good standing.
• Audited annual financial statements if the offer exceeds R10 million; MBD 5 declaration for procurement above R10 million;Declarations of interest, bid practices, and Independent Bid Determination.
• Registration on Central Supplier Database (CSD) and proof of CSD status; proof of municipal payments up to date (rates, tariffs, service charges).
• Agreement to OHSA section 37(2) and ability to sign a Service Level/Contract Agreement; performance security and insurance requirements as specified.
• Proof of company/CC/partnership/JV registrations and IDs for directors; where applicable, JV agreements and powers of attorney; addenda records.

• Submission method: hand deliver a sealed tender envelope to the Municipal Tender Box at KV Challenor Street, Eshowe (by 12:00). Late or electronic submissions not accepted.
• Documents to submit (returnable/schedule): Proof of purchase; Tax clearance; company registrations and director IDs; CSD proof; Rates clearance; COIDA; Audited AFS if needed; MBD6.1; declarations (interest, past SCM practices, independent determination); OHSA agreement; record of addenda; certificate of authority; pricing schedule completed in full. • Pre-qualification/registrations: Registration on the Councils Database preferred before submission; mandatory on award for the successful bidder; CSD registration strongly advised.
